Submitting Program Changes for L&S Mid-Cycle Guide Update
Overview
Most Guide edits need to wait until the annual update call for the Fall Guide. There is an opportunity to correct egregious errors and make other limited edits for the spring term. These Guide updates publish in late October and are effective the Spring term (January). Please note these corrections and edits only pertain to governed content. For non-governed content, editing is only for the Fall, except for the directory information which can be updated year-round.
Examples of mid-cycle updates
All programs can make the following mid-cycle updates:
- Reinsert a course that was accidentally removed
- Remove a discontinued (red-boxed) course
Graduate programs
Graduate programs may update Admissions table items for mid-cycle updates. For example:
- Edit GRE requirement information
- Update the deadline for graduate admissions materials
- Adjust the number of letters of recommendation

Other changes must wait for the Fall Guide cycle.
How to submit changes for mid-cycle governed content:
(How to Get In/Admissions, Requirements, Learning Outcomes, Policies, or Four- and Three-year plans)
- Fill out the Lumen Programs Form to submit changes for the program that requires edits. For assistance in locating the program proposal see this KB under, "Find the program you wish to edit" L&S Annual Fall Guide Revisions
- Proposal abstract/Summary: Write 1-2 sentences specifically indicating the error being corrected or edits being made.
- Term: Spring 2025 term
- "Are the proposed changes minor, such as minimal curricular changes, small Guide Language Edits, red-box course corrections, etc?" answer needs to be "Yes"
Undergraduate programs:
- Please make sure your edits align with the L&S style guidelines: L&S Lumen/Guide Policy & Style Guidelines for Undergraduate Programs
- Once approved, L&S AIM will ensure that DARS is updated accordingly (if applicable) for undergraduate programs.
Deadline: Friday, Sept 6, 2024
If your proposed change encompasses more than what is described in this document, please plan on submitting a Lumen Program Proposal for Fall edits. L&S Academic Planning and AIM staff are available for questions and consultation.
