Learn@UW - Managing Exam Submissions with RegisterBlast (Instructor)
As an instructor, there are several ways to provide students with exam accommodations. Many instructors provide accommodations within their own department, but you can also contact Testing & Evaluation (T&E) for additional support or specialized services when needed. Students may also request to test at T&E, but the final decision to use T&E rests with you, as the instructor.
Creating an Exam Submission
If you decide to use Testing & Evaluation services to schedule an accommodated exam, you will need to create an exam submission.
Note: Create exam submissions as early in the semester as possible and at least one week prior to the exam. This will give students the time that they need to schedule their appointments.
- Navigate to your Canvas course page
- Select Testing Center (RegisterBlast) on the Canvas sidebar. This will take you to your instructor submissions home page for that course.
Note: If you are supervising multiple courses, we recommend bookmarking or otherwise saving your instructor RegisterBlast homepage on your browser. - Select + (plus sign) to create a new exam submission. This will open the exam submission builder.
- Fill out all of the appropriate information fields related to exam details, file management, additional information, eligibility and restrictions, and exam instructions. You can change these once the exam submission is created.
- Include a specific start time and end time if desired.
Note: please make sure that there is enough time between both to accommodate for your students who may have extra time. We advise setting your end time to at least double the amount of time it would take to finish the exam to account for students who might have the double time accommodation. - If all information entered is correct, select submit to generate the exam submission, or submit and print if you would like a paper copy for your records. You will be taken back to your instructor page where you can now see the exam submission that you created.
After Creating an Exam Submission
- Notify all students who have disclosed the need for accommodations as soon as possible that they may now schedule their appointments.
- Direct students to select Testing Center (RegisterBlast) on your Canvas Course page. This will take them to their RegisterBlast homepage where they can schedule their appointment.
- Provide a digital or hard copy of your exam to Testing & Evaluation.
- Digital Copy: Upload a word or PDF copy of the exam to your exam submission under file management at least 48 hours prior to the first scheduled exam.
- Physical Copy: Drop off a hard copy of the exam at the Testing & Evaluation main office, located in Room 373 of the Educational Sciences Building. Or, use the after-hours drop box across the hall in Room 376.
- Reminder emails are sent 48 hours prior to the first appointment if the exam has not been received.
- If you are still writing the test and cannot upload it to RegisterBlast until closer to the exam date, please let the testing coordinator know.
Managing Existing Exam Submissions
Retrieving a Completed Exam
After all your students are finished testing, the testing coordinator will scan and upload the completed exams to each of your students' individual appointments. To retrieve this information:
- Open your Canvas course and select Testing Center (RegisterBlast)
- Open your history tab and search for the student or search by date.
- If your exam contains a Scantron component, you will not receive a scanned PDF copy of the exam. Instead, you’ll receive an email notifying you when your exams are ready for pick-up from the Testing & Evaluation Services main office in room 373 in Educational Sciences.
- If you are dropping off Scantrons from a classroom exam to Testing & Evaluation Services for scoring, please notify the front office staff if any students with accommodations are still testing in our office.
- If all exams, including those with accommodations, are complete, T&E will return the Scantron sheets to you to include with exams being submitted for scoring.
- However, if any students with accommodations are still testing, the submitted exams will be placed on a hold shelf, and T&E staff will add the completed accommodated exams to the batch before sending them for scoring.
- Please allow up to 24 hours after the last exam is finished to receive the scanned exams or your notification email.
Editing Exam Submissions
- To manage exam submissions, go to your instructor submission homepage and select the name of the submission you wish to edit. (or by clicking the three dots next to the submission and clicking on the edit option).
- Once you are done editing the submission, select submit.
Setting up Multiple Exams
You can clone the submission if you wish to set up multiple exams with similar parameters but different dates. This is useful if you want to quickly create multiple exam submissions. If you clone an exam, review the exam name and remove “Clone of” from the title.
Removing Completed Exams
You can archive completed exams to remove them from your instructor submissions page. However:
- Please do not archive exams that are yet to be administered, as students will still be able to see and schedule appointments for archived exams.
- If a mistake was made when creating an exam submission, please edit the submission rather than archiving and creating a new one.
Troubleshooting/Best Practices
If you are supervising multiple courses, it is encouraged to bookmark or otherwise save your instructor homepage on RegisterBlast to your web browser.
-
Create exam submissions as early in the semester as possible and at least one week prior to the exam. This will give students the time that they need to schedule their appointments.
How early do students need to schedule an exam?
Testing & Evaluation Services will only accept appointment requests prior to 48 hours of an exam start time. If a student expresses that they need accommodations for an exam and the exam start time is within 48 hours:
- If testing with T&E, you will need to create an exam submission that is more than 48 hours away (ideally 72 hours away to allow the student time to schedule their appointment).
- Otherwise, they will need to be accommodated within your department
What if a student cannot schedule an exam before the 48 hour deadline?
This could be caused by one of the following reasons:
Start/End Time Discrepancy:
Make sure that your start time and end time are far enough apart to account for time and a half and/or double time.
-
We advise setting your end time to at least double the amount of time it would take to finish the exam to account for students who might have the double time accommodation.
4:00pm Scheduling Barrier:
RegisterBlast currently does not allow scheduling for an exam to start before 4:00pm and finish after 4:00pm. Your student would need to schedule a different exam time.
No Seats Available:
If a specific time is not showing for a student to schedule an appointment, that means that Testing & Evaluation Services is fully booked at that time. Encourage the student to schedule an appointment at a different time when we have seats available.
- If no seats are available, you may need to expand your time range or create a separate submission for this student to test at a different time.
- If you are creating an exam submission and wish to restrict access to one or a specific subgroup of students with testing accommodations, please use the Eligibility and Restrictions field. This will only allow those students to schedule an appointment under that submission.
