Microsoft 365 - Create, edit, or delete a Service Account
Microsoft 365 - What will Microsoft 365 cost to departments?
Important: Service Accounts can only be used by users who have NetID accounts within UW-Madison's Office 365 implementation. Microsoft licensing prohibits the use of these accounts by any external user - this means that external users cannot use the service account credentials to access the account. If you need to provide access to an external user, please request an appointment through your department's HR office.
Create a service account
Note: If you are not an administrator of a domain, you will not have the ability to create a service account. To request a service account, use the request a service account instructions.
- As an administrator of a domain, log into Wisc Account Administration site with your NetID credentials.
- Select the domain in which you want to create the service account.
- From within the "Domain Administration" sub-menu, click Add Service Account.
- On the Add Service Account page, there are several fields you will need to populate:
- Login ID - This is the unique identifier for the account ( * must be unique within the domain it is being created in).
- First Name - any first name - this value will be used as part of the display name within GAL and when sending as this account.
- Last Name - any last name - this value will be used as part of the display name within GAL and when sending as this account.
- Description - any description.
- Password - if you will be logging into this account directly, enter a desired password.
- Linked NetID(s) - the NetID(s) will be granted full mailbox and send-as permissions to the account.
- Authorized Admin(s) - the NetID(s) will be granted administrative permissions to the account.
- Forwarding Address - any address you would like this account to forward to.
- Important: the "Forwarding Address" field only supports one address. To forward to more than one address, see our document on setting forwards or create a distribution list to forward to.
Click the Add Account button. Important: It may take up to 60 minutes for the account to be created/configured within Office 365. Do not attempt to access this account until a hour has passed. You must wait at least fifteen minutes after creation before you can delete a service account
Important:
- By default, Service Accounts are hidden from the Global Address List (GAL). This means that when users search for this account, it will not be returned. To control this setting, use steps at Microsoft 365 - Show or Hide Service Account within Global Address List.
Edit a service account
Note: If you are not an administrator of a domain or an authorized administrator of a service account, you will not have the ability to edit a service account. To edit a service account, contact your domain administrator or the service account's authorized administrator.
After a service account is created, you can modify certain properties of the service account.
- As an administrator of a domain or authorized administrator of a service account, log into Wisc Account Administration site with your NetID credentials.
- Select the domain in which the service account exists in.
- From within the "Domain Administration" sub-menu, click Account Listing.
- On the Account Listing page, click on the account you want to edit.
- On the Account Home page, expand the "Account Administration," "Google Apps," and "Office 365" sub-menus:
Each "Account Administration" sub-menu action/setting is defined below:
- Reset Password - create/reset the service account password.
- Linked Accounts - the linked NetID accounts will have the ability to access this account without needing to know the account credentials.
- Authorized Admins - the authorized admin NetIDs are granted administrative permissions over this account.
- Account Profile - allows you to modify the name/description/address/phone/department. Note: Any client which is connected via Exchange/ActiveSync (including Outlook on the web) will use the display name (first and last) as the 'From' name in this profile. Learn more.
- Delete Account - allows you to delete the account.
- Send As Addresses - allows you to send using the email address of an external account.
Each "Google Apps" sub-menu action/setting is defined below:
- Status - shows the current state regarding the associated Google Apps account.
- Contact Sharing - allows you to hide or show the associated Google Apps account in the Google Apps Address Lists.
Each "Office 365" sub-menu action/setting is defined below:
- Status - Shows the current state/addresses assigned to the account, and allows you to show/hide the account in the Global Address List (GAL).
- Email Addresses - Shows all email addresses on the account, and allows you to set any address as the Primary Address.
- Permissions - Allows you to view and grant send as/send on behalf/full mailbox permissions, run the Permission Repair Tool, and clear Automapping.
- Calendar Permissions - Allows you to view permissions assigned to the account's primary calendar.
- Forwarding - Allows you to view or set the Forwarding Address.
- Inbox Rules - Shows all server-side Inbox Rules.
- Junk Mail Filters - Shows all server-side Junk Mail Filter rules.
- Mobile Device Access - Shows information regarding access to the account via Exchange-configured mobile devices.
Click the setting you want to edit/modify and make the necessary changes. If the setting is view-only, you may need to access the account settings via Outlook on the Web or Outlook desktop client to edit it.Important: It may take up to 60 minutes for the changes to take affect within Office 365.
Delete a service account
Note: If you are not an administrator of a domain or an authorized administrator of a service account, you will not have the ability to delete a service account. To delete a service account, contact your domain administrator or the service account's authorized administrator.
Important: A service account cannot be deleted within 15 minutes of creation. Once deleted, all the data within the service account will be deleted and cannot be restored.
- As an administrator of a domain or authorized administrator of a service account, log into Wisc Account Administration site with your NetID credentials.
- Select the domain in which the service account exists. Otherwise, if you are an authorized admin of the service account, click on the service account email address and proceed to step 5.
- From within the "Domain Administration" sub-menu, click Account Listing.
- On the Account Listing page, click on the service account you want to delete.
- On the Account Home page, expand "Account Administration" sub-menu.
- Click Delete Account.
- You will be prompted to confirm this action. Important: Once a service account is deleted, all the data within the service account will be deleted and cannot be restored.
- Click Yes, I want to delete this account. link to delete the service account or No, I don't want to delete this account link to cancel deletion action.
