Zoom - Exporting Attendance Reports from Noncredit Course Meetings[UW-Madison]

This document describes how to collect attendance data from Zoom meetings

Zoom can track attendance for meetings and reports are available approximately an hour after the meeting has ended. Usage reports provide details about who attended, how long they were in the meeting, and when they joined and left. 

The person who created the Zoom meeting will need to login to their account profile within the UW-Madison instance of the Zoom webportal. Then, follow the steps below to obtain a meeting report:

  1. Select Reports in the navigation on the left (you may need to scroll down the page).

  2. Select the Usage Reports tab and then Usage in the center of the page.

  3. Ensure the date range at the top includes the meeting you want. A list of meetings in that range will appear below. 

    1. Locate the meeting and click on the number in the Participants column. You may have to scroll the frame to the right if the Participants column is not visible.

    2. A new window will appear with the meeting participants list.

    1. Note: The meeting participants report will show multiple instances of a participant if they leave and rejoin the meeting. If you want to show each participant only once, check Show unique users.

  1. You can view each participant’s name and email address, if they did not join as a Guest, as well as how much time they spent in the meeting along with the timestamps of when they joined and left the meeting. 

    1. If you wish to view more data, such as when the meeting officially started and officially ended, then check the Export with meeting data box.

Optional: Exporting the Attendance Report

  1. If you wish to formally export this information as a CSV file, check the Export with meeting data box. This includes important information including the date and start/end times of the meeting. 

  2. Select Export
    Meeting participants list is still up, but with "export with meeting data" and "export" highlighted

  3. You can open this file with Microsoft Excel or import to your Google Drive and open with Google Sheets.

    1. Please note that the date and timestamps may not appear in the cells, but if you highlight them, then the information should appear in the text entry area.
