Lumen Programs: Administrative Process for 'Reactivate', 'Suspend, will be Discontinued', and 'Discontinued'
The administrative process associated with reactivate, suspend, will be discontinued, and discontinued program proposals to get the program proposals back in a state of edit-ability.
Reactivate
When a program changes from Suspended to Reactivate, an additional administrative proposal will need an administrative save to change the proposal from 'Reactivate' to 'Active' after governance approvals.
Process
1. The change proposal advances through workflow like a regular proposal.
2. Once approved, DAPIR selects the appropriate term in which the change goes into effect (This is in part Guide publication and SIS entry). The proposal is then advanced to the Registrar step.
3. The Registrar's Office will need to update items in SIS and in DARS.
3a. The DARS encoders make changes to the academic plans/sub-plans.
3b. The academic structure should be updated with a new row; the effective date used is the one entered in the field "First term of student enrollment." On this row, remove the 'Last Admit" term. NOTE: If the proposal includes a named option, ensure the parent doesn't have a last admit when students should be able to declare the named option.
4. Once implemented in the system, the Registrar's Office completes the proposal - putting the proposal 'back on the shelf in accordance with Guide publication rules.
5. Once the proposal is complete, DAPIR will administrative save a new proposal with the status of 'Active.'
Suspend, will be discontinued
When a program is approved to be suspended and discontinued in the same proposal. This can be completed at the next publication date as programs can be suspended for many terms prior to discontinuation. The proposal will need to be put back on the shelf in case there are curricular or other appropriate updates to a plan/sub-plan.
Process
1. The proposal advances through workflow like a regular proposal.
2. Once approved, DAPIR selects the appropriate term in which the change goes into effect (This is in part Guide publication and SIS entry). The proposal is then advanced to the Registrar step. The effective date of the proposal is for the term governance approved the suspend/discontinued.
3. The Registrar's Office will need to update items in SIS and in DARS.
3a. The DARS encoders make changes to the academic plans/sub-plans.
3b. The academic structure should be updated with two new rows.
1. Correct history to add the last admit term on the current row in SIS.
2. Add a row for the term in which the plan/sub-plan is approved to be suspended (current term) and add a CAF State value of 'SD.' Add a future row for the term of inactivation and a CAF state of 'D' indicating the term in which the plan/sub-plan will be inactivated.
(Note: The CAF value will need to be removed at the time of the inactivation of the code.)
4. Once implemented in the system, the Registrar's Office completes the proposal - putting the proposal 'back on the shelf in accordance with Guide publication rules.
Discontinue
A program can approved to be discontinued, either from an active or suspended state. The program does not need to be suspended prior to discontinuation.
Process
