How to Obtain Guide and/or Lumen Authorization

A quick summary of who might need to access both the Guide and Lumen platforms and how to get authorization to editing environment

Guide

The Guide includes academic information for students pursuing undergraduate and graduate degrees and nondegree opportunities. Information in Guide is effective for the current academic year. Guide editors are responsible for updating the non-governed content for schools/colleges/divisions and academic programs.

Request authorization to Guide editing environment for a specific academic program

Lumen

Lumen is the gateway for faculty, curricular representatives, and governance bodies to propose, update, track, and approve proposals related to courses, curriculum and programs.

All UW-Madison permanent university staff, academic staff and faculty who have an appointment in an academic division* are automatically given access to create and view all proposals in Lumen. They do not need to request access to the Lumen system. 

* Academic divisions are A07, A10, A12, A17, A18, A19, A27, A34, A37, A40, A45, A48, A53, A54, A56, A63, A87, A93.

All UW-Madison employees in other divisions may request access to create and view proposals. Student employees may only request access if their job duties require it. Their supervisor should email Michelle Young regarding access.

Please verify that you do not already have access before using this request form. The Lumen Course Proposal System and Lumen Program Proposal System are available through the Lumen app in MyUW Step by step instructions for accessing the system.

This form is primarily used for requests to be added to workflow roles in Lumen (course and program proposals). Being listed in a workflow role for a subject, department, school or college means that the individual can approve a proposal on behalf the governance body of that unit and advance it to the next workflow step. This authority is granted through the department chair or school/college dean.
