GSTS - How to Add an Exception and Types of Exceptions in Student Advisement Reports
How to Add an Exception
Programs must submit a Google form to request an exception be added to a student's advisement report. This process originates from bugs identified in the GSTS Authorize Exceptions page in the Student Information System (SIS).
Complete the following steps:
- Coordinator/manager completes the Advisement Report Exception form (submit one form per student).
- GSTS manager reviews and adds exception to the student's Advisement Report
- GSTS manager sends follows up message to submitter notifying exception has been added to the student's advisement report.

- Review the structure of an advisement report to familiarize yourself with the terms associated with a report.
Types of Exceptions
Course Substitution
This type of exception allows a program to substitute a course a student is already enrolled in or has been transferred in through the Graduate Student Portal. This is the most common type of exception.
Example: Student receives approval to apply an alternate courses to satisfy a program's ethics requirement.
Requirement Change
This type of exception allows a program to change the minimum and/or maximum units (credits) and/or courses for a requirement group, requirement, or requirement line number. Use this to only set new values.
Example: A student must complete 4 credits of seminar, but a schedule conflict only allows the student to complete 3 credits of seminar. Program grants permissions to reduce total number of credits required for seminar.
Requirement Waiver
This type of exception allows a program to waive an entire requirement group, requirement, or requirement line number for a student.
Example: Program provides multiple informal pathways and waives non-applicable pathways so only the student's selected pathway requirements appear on report.
