Academic Program

Schools/Colleges/Divisions enter information into the Academic Program field for their own population of students. As such, there is a variation in what data it conveys. A student's Academic Program may indicate a student's degree program, but it can also indicate their School/College or major. A full list of all Academic Programs for all careers can be found on the Registrar Office's website.


Academic Standing Status

The academic standing status of the student is calculated for the most current term.

Acknowledge Reportable Event

This is an activity in ARROW that allows the IRB staff reviewer to acknowledge receipt of a reportable event that does not require further IRB review. Upon acknowledgement, the study will return to the approved state.


Admissions Category - Academic Performance and Course Rigor



This data point provides a summary of high school academic performance through placing students in one of three groups based on similar grade performance and course rigor. Admitted students are not equally distributed between these hierarchical group. As of 1/29/2025, admitted first-year students are distributed across the three academic groups as follows:  

  • Group 1: (34.0% of admits) This group has achieved all A/A- Grades taking rigorous courses across 4-5 course subjects. Course subject areas include English, Math, Science, Social Studies, and World Language

  • Group 2: (33.5%) Most of the students in this group have achieved A- grades with rigor across 4 subjects. Some students may have achieved higher grades with slightly lower rigor or slightly lower grades with slightly greater rigor.

  • Group 3: (32.4%) This group contains all remaining admits. Most students in this group have achieved A-/AB grades with rigor across 2-4 subjects. 

It is appropriate to note that access to high course rigor is not consistent among our admitted students and that some schools do not offer as many opportunities for advanced course work. As a result, not every student will have an opportunity to achieve at the highest academic performance and course rigor groups. The Academic Performance and Course Rigor Group should be used in conjunction with other aspects of student achievement. 


Admissions Category - First Choice Major Fit



This field will display a “Y” when the admission’s review determines clear passion and commitment to the applicant’s first choice major through the campus essay, coursework, involvement, and/or other application materials.


Admissions Category – Wisconsin Idea and Impact



The Wisconsin Idea is one of the longest and deepest traditions at the University of Wisconsin-Madison and serves as the guiding principle in all that we do. Simply put, the Wisconsin Idea states that the education a student receives on our campus should influence people’s lives beyond the boundaries of the classroom to make the world a better place.

Through the review of an applicant’s involvement, essays, and letters of recommendation, this item rates the applicant’s eagerness to explore and embody the principles of the Wisconsin Idea and their potential to enrich our campus community. 

Valid values in hierarchical order are:
Extraordinary

Few are given this highest rating. Students in this category have shown evidence of interest in making an impact on their community through a UW-Madison education AND shown evidence of currently making an impact on their school/community. This could include:

  • Reflection on work they've already done to make an impact on their community/society and how they will continue to do so
  • An action or impact plan to advance change that is inspired/informed by their lived experiences, observations, or intellectual pursuits
  • Extraordinary commitment to furthering knowledge through discovery, leadership, and problem solving to assist in addressing societal challenges
Exceeds Expectations

These students show evidence of a genuine interest in making an impact on their community through a UW-Madison education. This could include:

  • Making an impact in their community or society at large
  • Contributing to research/discovery to serve the greater good
  • A desire to address societal challenges
Meets Expectations

This is the most common rating in our applicant pool by far. These students show involvement in high school and/or interest in involvement as a student at UW-Madison though do not rise to the level of the first two categories.

Average These students may have limited involvement and/or share minimally as to how they will become involved as a student at UW-Madison.

    Assign IRBF

    This is an activity in ARROW that allows the IRB staff reviewer to assign a submission to an IRB Floater.


    Assign to IRBS and IRB

    This is an activity in ARROW that allows the IRB submission manager to assign a new submission to an IRB staff reviewer and an IRB (e.g. Minimal Risk IRB or Health Sciences IRB). 


    Assigned to IRB Meeting

    This is a state in ARROW. Studies in this state have been assigned to an upcoming meeting by either the IRB staff reviewer or the IRB submission manager.  In this state, the IRB staff reviewer can record the IRB meeting decision and draft meeting minutes.


    Awaiting Correspondence

    This is a state in ARROW.  Studies in this state have undergone IRB review, a meeting decision has been recorded and the IRB staff can draft correspondence for the study team. 


    Awaiting Scientific Review

    This is a state in ARROW.  Studies in this state have been triaged by the IRB and determined to require scientific review.  In this state, the Scientific Review Committee (e.g. CTRC PIR, SRC, PRMC) will review the study and indicate the outcome of their review.

    Biogenic

    Produced or brought about by living organisms.


    BIOLOGICAL VALUE (of a protein)

    A measure of protein quality. The percentage of protein in a feed which is not lost in the urine or the feces of the animal. Biological value is a reflection of the balance of amino acids available to the animal after digestion and absorption.


    Business Insight

    A tool integrated into the Imaging Service that can be used to run reports against data; often used to check user/group permissions.


    Campaign

    Salesforce object area that houses campaign records. Each campaign records contains one recruitment or marketing event. Recruitment events include on-campus and off-campus programming. See Salesforce Campaigns.


    Case Management

    The collaborative functionality built into the Cases object in the Service Console app of Salesforce. And, the process of following a Salesforce case through to completion.     Categories

    Is a feature in Outlook and Outlook on the web that allows you to assign a keyword or phrase (and color) to help you keep track of items/events. Using this feature you can easily find, sort, filter, or group different items/events that are located across your different folders/calendars.


    Category (WiSH)

    Within the WiSH system, students are assigned categories to show their status/progression through the system. Students can have different categories within the General Application, Auto-Match, Apply-To and Post-Acceptance grids depending on where they are in the scholarship process. Below are a list of the available categories within WiSH. Please note: Applicants may not see the same category names as administrators. If applicants see a different name, it will be indicated in the table.

    Apply-To Student Categories

    Ineligible – Drafted Applicants and Reviewers (displays as "Drafted") A way you can mark a student who has started an application as ineligible without notifying the student.
    Ineligible – Submitted Applicants and Reviewers (displays as "Submitted") A way you can mark a student who has submitted an application as ineligible without notifying the student.
    Offered Applicant and Reviewers The scholarship administrator has offered an award to the applicant. The applicant can now accept or decline this offer. If set to immediately, communications notifying the applicant of their offer will be sent as soon as they are moved to this category. If set to upon approval, the communications notifying the applicant of their offer will be in scholarship administrator's message queue to be approved. 
    Plan to Offer Reviewers The scholarship administrator has encumbered funds by creating an offer for the applicant. However, the applicant cannot see the offer. To them, their category is still "Submitted." Additionally, the applicant has not been sent a communication notifying them of their offer.

    Cancelled Applicants The scholarship administrator has cancelled the award and future disbursements (if applicable).
    Deferred Applicants The scholarship administrator has deferred the payment for another term (for renewals specifically).
    Drafted Applicant The applicant has started to complete the P.A. questions but they have not submitted their responses.
    Final Disbursement Applicants The scholarship administrator marks this award payment as the last payment of a renewable scholarship. This category works similar to "Awarded" in that the scholarship will be sent to SIS for payment.
    Pending Administrators Only The initial category of the P.A. grid. When the scholarship administrator first encumbers an award for the applicant in the Applications grid, the applicant appears in the P.A. grid with this status.
    Requested Applicants The applicant has been asked to completed P.A. Applicants automatically move to this category when they accept the award.
    Submitted Applicants and Reviewers The applicant has completed all necessary/required parts of P.A.

    Changes Requested - Scientific Review

    This is a state in ARROW.  Studies in this state have undergone scientific review and changes were requested by the scientific review committee.  In this state, the study team can either 1) respond to the committee request so that it returns to the Awaiting Scientific Review state for additional review, or 2) withdraw the application. 


    College Code

    For current students, the college code represents the school or college in which the student is enrolled. For incoming students, the college code represents an applicant's desired School/College (i.e. Admit Status of APPL); for admitted students, it represents the School/College the student was admitted into (i.e. Admit Status of ADMT, DEIN, or MATR).

    In SIS, college code is also known as academic group.

    College Code - Future

    When a student changes their School/College (i.e. at SOAR), the change is often future effective dated. This means that the change is set to occur on a date in the future and the student's new college code will not become their current college code until that date. College Code - Future displays this future college code and the effective date (the date it will change in SIS) of any student who is set to have their college code changed. Once the effective date passes, the student's college code will change to the new value and College Code - Future will become blank. Please note: this field may also populate if a student changes their major and that change is set to a day in the future. This is because college code and major exist on the same table in SIS.


    College Transcripts

    There are three separate data points in WiSH for Undergraduate College Transcripts:

    • College Transcript #3
    These data points display an ImageNow link. This data point is primarily intended to allow Scholarship Administrators and Reviewers to review College transcripts for incoming Undergraduate transfer students as well as incoming Undergraduate first year students who took College courses prior to enrolling at UW-Madison (i.e. in High School). Please note - when accessing the ImageNow link, users must be logged into VPN via their GlobalProtect app.
    Please note – This will not display a transcript for current work at UW-Madison for enrolled Undergraduate students. If you would like to request a transcript for a current Undergraduate student’s work at UW-Madison, please request that students upload an Unofficial Transcript as part of your application.
    Additionally, please note that only Users/Reviewers with the appropriate ImageNow access will be able to access the links. If you’d like to sign your Review Group(s) up for ImageNow access for College Transcripts, please use our sign-up sheet.


    Confirm for IRB Agenda

    This is an activity in ARROW that allows the IRB submission manager to confirm that a submission can be included on the assigned IRB meeting agenda (for example, once PRS review is complete).  The meeting date cannot be changed through this activity, only through the Reschedule activity. 


    Connections Program*

    "Offers select applicants, who are Wisconsin residents, the opportunity to start at a partner college or university and finish their bachelor's degree at UW-Madison and hold the distinctive UW-Madison student status from the beginning." Learn More.


    Contact Group

    A contact group -- formerly called "distribution list" -- is a group of contacts that you can send messages, meeting requests and tasks requests.


    Contact Group/List

    A contact group/list is a personal group which is stored in your Contacts folder and can contain entries from your personal Contacts and from the Global Address List (GAL).


    Continuing or New Student

    A value assigned to a student based on their admissions and enrollment at the university. It is not a standard field in SIS and is thus calculated using a mixture of enrollment data and admissions data. The value “continuing” is assigned to students who are ‘eligible to enroll’ or ‘enrolled’ in the SIS affiliation table. The value “new” is assigned to applicants who have applied for admission, been admitted or indicated they intend to enroll.

    Timing is an important consideration if using this field in terms of your scholarship cycle.  A ‘New’ applicant will become a ‘Continuing’ student when matriculation occurs.  For Admit Terms, matriculation occurs:
    • Admitted for summer term = matriculation occurs in late March
    • Admitted for fall term = matriculation occurs in May
    • Admitted for spring term = matriculation occurs in mid-November


    Course Options Program (CO)*

    Course Planning Group (CPG)

    • The Course Planning Group (CPG) is a cross functional team within Education Support Services (ESS) which offers support in professional development course instruction and logistical coordination.


    Cover weight

    heavier-weight (thicker/more-rigid) paper consisting of various grades


    Critical Thinking

     The art of analyzing and evaluating thinking with a view to improving it (Foundation for Critical Thinking).


    Cumulative GPA (Grade Point Average)

    A student’s cumulative Grade Point Average at UW-Madison for all graded courses.  It is calculated by adding the value of all of the grade points and dividing by the number of credits for graded courses.

    Cycle Management

    Cycle Management is the annual process to close out one cycle in WiSH and open a new one. UW-Madison performs this process each August, and members of the OSFA WiSH Team lead the process.

    Degree Conferred

    Degree conferred populates with any degrees a student has been conferred/has completed at UW-Madison and the date the degree was conferred.


    Delegate

    Someone granted permission to interact with another person's Office 365 account (email, calendar, address book, etc). This can include reading, writing, modifying, and deleting items.


    DIGESTA

    The mixture of digestive secretion, bacterial population and feeds undergoing digestion in the gastro-intestinal tract (such as rumen content).


    DIGESTIBILITY (Coefficient of)

    A measure of the proportion of a feed that is digestible. The digestibility of a nutrient is often measured as the difference between the amount of nutrient ingested minus the amount of nutrient excreted in the feces, expressed as a percentage of the nutrient ingested: 100 x (intake - excreted)/intake.


    Distance Degree

    DoIT Billing Customer ID

    A payment system that allows departmental customers to pay for DoIT goods and services though an account-specific set of numbers: DoIT Numbers - Overview (DoIT Billing Customer ID). As part of the Workday transition in July 2025, your DoIT Number became your DoIT Billing Customer ID.


    Dunning Letter

    1. A dunning letter is a notification sent to a customer, stating that the customer is overdue in paying an account receivable to the sender.


    Elastic (goods and services)

    Elastic goods and services generally have plenty of substitutes. Inelastic goods have fewer substitutes and price change doesn't affect quantity demanded as much. Some inelastic goods include gas, electricity, water, drinks, clothing, tobacco, food, and oil.


    Employee-in-Training

    Persons holding a title in the Employees-in-Training title group are normally acquiring additional training or experience in their field of specialization. Two examples of Employees-in-Training titles are Postdoctoral Fellow and Postgraduate Trainee.

    ENERGY DENSITY

    A measure of the concentration of energy in a feed or a ration usually expressed as a unit of energy (megacalorie or megajoule) per lb of dry matter or per kg of dry matter.

    Epistemology

    The theory of knowledge, especially with regard to its methods, validity, and scope. Epistemology is the investigation of what distinguishes justified belief from opinion (Wikipedia).


    Exchange ActiveSync Protocol

    Exchange ActiveSync (also known as EAS) is a communications protocol designed for the synchronization of email, contacts, calendar, tasks, and notes from a messaging server to a smartphone or other mobile devices. The protocol also provides mobile device management and policy controls.


    Exchange Protocol

    A service -- similar to IMAP, POP3, and ActiveSync -- that works to transfer and synchronize email/calendar information between the server and the end user's client.


    Exemption Granted

    This is a state in ARROW.  Applications in this state have undergone review by an IRB staff reviewer and determined to qualify for exemption. In this state, the study team can submit changes of protocol, personnel changes, and reportable events, as well as report study completion.  


    FA - Gift Aid

    The total grant, scholarship, waiver or fellowship aid currently reported as a financial resource on the student’s financial aid offer for the year. Federal Work Study and any type of loan are not included. This value is used in the Gift Need calculation.


    FA - Gift Need (Need Not Met by Gift Aid)

    Gift Need the gap between the cost of attending college and the gift aid a student is granted. In other words, it is the gap that remains for an individual student after all scholarship and grands (but not loans and Federal Work Study) are applied towards their Federal Need.
    Federal Need – Total Gift Aid = Gift Need


    Equation Examples:

    $5,000 Federal Need - $3,000 Grant Aid awarded  = $2,000 Gift Need
    $5,000 Federal Need - $10,000 Grant Aid awarded  = $0 Gift Need


    FA - Packaging Status (Y/N)

    Packaging Status (Y/N) shows whether or not a student has received their initial financial aid offer for a given academic year. If the student has submitted a FAFSA and received their initial financial aid offer, they will have the value of "Y." If the student has submitted their FAFSA but does not have a financial aid offer yet, it will show the value of "N." If the student has not submitted the FAFSA, the value will be blank. The intention of this data point is to offer more clarity around a student's financial information. There are several important things to remember when referencing this data point:

    • You should not use this data point as a qualification. Doing so might negatively impact students in the process of completing verification.
    • Even if a student has received their financial aid offer (i.e. has a "Y"), their financial aid offer may still change. OSFA is required by federal regulations to adjust student financial aid offers if a student receive additional financial aid (ie. scholarships, fellowships etc) after they receive their initial financial aid offer. A student may also experience a dramatic change to their financial situation (i.e. parent retiring, loss of parent's job) that might cause a re-evaluation of the student's financial aid offer.
    • When summer enrollment begins in late spring, you may see some students who were previously marked as "Y" move to "N." Summer financial aid offers use the same FAFSA data as the preceding academic year. These students still have their academic year offers. For next year offers (so the future academic year), this will not be an issue.


    FALSE NEGATIVE

    An animal that tests as negative but who is actually positive. The percent of false negative for a test can be calculated as 100 – SENSITIVITY.


    First Generation

    A student who does not have a parent that graduated with a bachelor’s degree (as defined by the University of Wisconsin System). First Generation is a recruiting category used by the undergraduate Admissions office to indicate that a student has reported themselves to be a first generation college student. Please note: this is a self-report field which means students may accidentally mark themselves as first generation or they may not know that they would be considered first generation. Values are:
    • Y - Yes
    • Blank - Did Not Indicate First Generation Status OR Graduate/Professional/Special Student (i.e. who did not complete Undergraduate Admissions App)


    FORAGE

    Feed that stimulate rumination due to their long particle size and their high content in fiber. Generally, forages are composed of the leaves and stems (stalk of plants. The bacterial population of the rumen allows the ruminant to digest forages.


    FORAGE TO CONCENTRATE RATIO

    Usually expressed as two percentages. The percentage of ration dry matter that is made up of forage and the percentage of ration dry matter that is composed of concentrates. The two total 100. For example a 50:50 forage to concentrate ratio means that a cow eating 20 kg of dry matter of that ration would eat 10 kg of concentrate dry matter and 10 kg of forage dry matter.


    Forward to Changes Requested - Scientific Review

    This is an activity in ARROW that allows the IRB submission manager to forward a submission in the IRB withdrawn state to the Changes Requested -Scientific Review state.


    Forward to Deferral Response Pending

    This is an activity in ARROW that allows the IRB submission manager to forward a submission in the IRB withdrawn state to the Deferral Response Pending state.


    Forward to IRB Pre-Meeting

    Global Warming Potential (GWP)

    An index (i.e., a relative measure) of how much heat a greenhouse gas traps in the atmosphere over a chosen time horizon, relative to that of carbon dioxide. The GWP represents the combined effect of the differing times these gases remain in the atmosphere and their relative effectiveness in absorbing outgoing thermal infrared radiation. Although the most common time horizon is 100 years, GWP have been reported also for time horizons of 20 years and 500 years.

    Hunger

    Industrial Refrigeration Center (IRC)

    • The Industrial Refrigeration Consortium (IRC) is a collaborative effort between the University of Wisconsin-Madison and industry. They work to improve the safety, efficiency, and productivity of industrial refrigeration systems and technologies, realizing this goal by conducting applied research, delivering knowledge transfer, and providing technical assistance. Although efforts are focused on industrial refrigeration systems that utilize anhydrous ammonia, they also work with systems that use other refrigerants.

      The IRC offers a unique combination of complementary resources that include academic qualifications, technical expertise, and practical experience. They provide objective information that is not biased by an affiliation with any particular organization.

    IRBSM (IRB Submission Manager)

    JPEG

    A JEPG is a graphic image file produced according to a standard from the Joint Photographic Experts Group, an ISO/IEC group of experts that develops and maintains standards for a suite of compression algorithms for computer image files. JPEGs usually have a .jpg or .jpeg file extension.


    KCS (Knowledge-Centered Service)

    Local Technical Assistance Program (LTAP)

    Reassign IRB

    Research teams initially determine which IRB to submit their study to. During pre-reivew, the IRB office may determine that the study should be reviewed by another IRB.  This activity, available only to the IRB director, can move the study between the MR and HS boards, as well as to the SBS and ED IRBs. 


    Reassign IRB Member

    Once a submission has been scheduled for review at an IRB meeting, IRB Office staff can reassign the primary or secondary reviewer responsible for conducting the review, should scheduling or other conflicts arise. 


    Reassign IRBS

    Studies in pre-review are assigned to a specific IRB staff reviewer.  If necessary due to workload, vacations, or any other issue, the IRB director can reassign that study to a different staff reviewer using this activity.


    Record Meeting Decision

    Remove from Agenda

    A study that has been assigned to an IRB meeting may need to be removed from the agenda for various reasons (new information has come to light, the study team needs to make additional revisions, etc.).  This activity allows IRB staff to remove a previously scheduled item from an agenda and send it back to pre-review.

    Schedule for IRB Meeting

    This is an activity in ARROW that allows the IRB staff reviewer to schedule a submission for an upcoming IRB meeting.  Once the IRB staff reviewer schedules the submission for a meeting, the submission moves to the IRB Pre-Meeting state. 


    Send Change for Exemption to Ancillary Committee

    This is an activity in ARROW that allows the IRB staff reviewer to send a change of protocol for an exemption to an ancillary review committee.  For example, if an exemption initially required VA R&D Committee review and a change is being made to the exemption, the IRB staff reviewer could send the change to the VA R&D Committee for review.

    Sifting and Winnowing

    The phrase "sifting and winnowing" refers to UW-Madison's historic tradition of defense of intellectual and academic freedom. The words are taken from an 1894 report of the University of Wisconsin Board of Regents and were originally used to explain the board's refusal to censure a professor accused of socialist and pro-union activity. The words are mounted on a plaque on the front of Bascom Hall:

    Stunted growth

    Stunted growth also known as stunting and nutritional stunting, is a reduced growth rate in human development, characterized by a low height for one's age. It is a primary manifestation of malnutrition (or more precisely undernutrition) and recurrent infections, such as diarrhea and helminthiasis, in early childhood and even before birth, due to malnutrition during fetal development brought on by a malnourished mother. An estimated 162 million children under 5 years of age, or 25%, were stunted in 2012 (Source: Wikipedia).

    Wasting

    Wasting, also known as wasting syndrome, refers to the process by which a debilitating disease causes muscle and fat tissue to "waste" away leading to children of low weight for their height. Wasting is sometimes referred to as "acute malnutrition" because it is believed that episodes of wasting have a short duration, in contrast to stunting, which is regarded as chronic malnutrition (Source: Wikipedia).
