Academic Level (Year in School)

The academic level, or year in school, is determined at the beginning of most current term in SIS.  Academic level determination includes all units, including test and other credit. Prospective students/Applicants to the university do not have an academic level. Values are:

  • UW Special Guest
  • Freshman
  • Sophomore
  • Junior
  • Senior
  • Graduate
  • Professional Year 1
  • Professional Year 2
  • Professional Year 3
  • Professional Year 4


Accuracy

The degree with which a measurement matches the actual, true or target value (see also Precision).


Active Directory

Active Directory is a collection of network resources that can contain users, computers, printers, groups, and even other Active Directories. Active Directory services allow administrators to handle and maintain all network resources from a single location, providing users access to the network resources they need to get their work done. Active Directory is a feature primarily of Microsoft Windows, although other operating systems can participate in it to a limited degree.

AD services control much of the activity that goes on in WCER’s network environment. In particular, they make sure each person is who they claim to be (authentication), usually by checking the username and password they enter, and allow them to access only the data they’re allowed to use (authorization).

In general, WCER users don't need to know how to configure their computers to connect to the Active Directory domain. If your device is provided by WCER, Research IT has configured this for you.


Activity

An activity is an action that you can take for a submission. For example, if a study team wants to respond to pre-review issues, they would use the Send Issues Response activity. Activities are always listed on the left of each study workspace. The list of activities changes based on a user's role in ARROW and what state a submission is in.


Admission Secondary Plan

The secondary intended major as indicated by an applicant on the Admissions application (e.g. Psychology BS – BS 832). Request the ‘Subplan’ when generating reports for more information.


Admissions Category - Academic Performance and Course Rigor



This data point provides a summary of high school academic performance through placing students in one of three groups based on similar grade performance and course rigor. Admitted students are not equally distributed between these hierarchical group. As of 1/29/2025, admitted first-year students are distributed across the three academic groups as follows:  

  • Group 1: (34.0% of admits) This group has achieved all A/A- Grades taking rigorous courses across 4-5 course subjects. Course subject areas include English, Math, Science, Social Studies, and World Language

  • Group 2: (33.5%) Most of the students in this group have achieved A- grades with rigor across 4 subjects. Some students may have achieved higher grades with slightly lower rigor or slightly lower grades with slightly greater rigor.

  • Group 3: (32.4%) This group contains all remaining admits. Most students in this group have achieved A-/AB grades with rigor across 2-4 subjects. 

It is appropriate to note that access to high course rigor is not consistent among our admitted students and that some schools do not offer as many opportunities for advanced course work. As a result, not every student will have an opportunity to achieve at the highest academic performance and course rigor groups. The Academic Performance and Course Rigor Group should be used in conjunction with other aspects of student achievement. 


Admissions Category - First Choice Major Fit



This field will display a “Y” when the admission’s review determines clear passion and commitment to the applicant’s first choice major through the campus essay, coursework, involvement, and/or other application materials.


Admissions Category – Wisconsin Idea and Impact



The Wisconsin Idea is one of the longest and deepest traditions at the University of Wisconsin-Madison and serves as the guiding principle in all that we do. Simply put, the Wisconsin Idea states that the education a student receives on our campus should influence people’s lives beyond the boundaries of the classroom to make the world a better place.

Through the review of an applicant’s involvement, essays, and letters of recommendation, this item rates the applicant’s eagerness to explore and embody the principles of the Wisconsin Idea and their potential to enrich our campus community. 

Valid values in hierarchical order are:
Extraordinary

Few are given this highest rating. Students in this category have shown evidence of interest in making an impact on their community through a UW-Madison education AND shown evidence of currently making an impact on their school/community. This could include:

  • Reflection on work they've already done to make an impact on their community/society and how they will continue to do so
  • An action or impact plan to advance change that is inspired/informed by their lived experiences, observations, or intellectual pursuits
  • Extraordinary commitment to furthering knowledge through discovery, leadership, and problem solving to assist in addressing societal challenges
Exceeds Expectations

These students show evidence of a genuine interest in making an impact on their community through a UW-Madison education. This could include:

  • Making an impact in their community or society at large
  • Contributing to research/discovery to serve the greater good
  • A desire to address societal challenges
Meets Expectations

This is the most common rating in our applicant pool by far. These students show involvement in high school and/or interest in involvement as a student at UW-Madison though do not rise to the level of the first two categories.

Average These students may have limited involvement and/or share minimally as to how they will become involved as a student at UW-Madison.


    Admit Type

    The Admit Type indicates the type of prospective student is applying to the university. This field is always associated with an Admit Term. Values are:
    • FYR - First Year
    • TRF - Transfer
    • RAD - Reentry (previously enrolled and returning after an absence of at least one term, not counting summer) 
    • RET - Reentry Transfer (previously enrolled and returning after an absence of at least one term, not counting summer and attended another school –and bringing transfer credit from another school)
    • NEW – Used by Grad/Prof schools to indicate a new prospective student

    Other Undergraduate Admit Types you should not use:
    • EOS (Engineering Outreach Student) is not used by any career.
    • CAD (Connections Apply Direct) should not be used as they indicate current Connections students (doing first 54 credits at partner campus) and if they return after 54 credits, will reapply with an Admit Type of TRF.
    • 2ND (second degree) is used when applicants indicate they want a 2nd degree. If verified that they can attend for a 2nd degree, Admit Type is changed TRF, RAD, or RET as appropriate; if not, they remain a Admit Type of 2ND and are denied admission. 


    Allometry

    The growth of body parts at different rates, resulting in a change of body proportions.


    Ancillary Committee (ANC)

    Ancillary Committees (ANC) are committees that have oversight for specific areas of a submission, such as investigational drugs, conflict of interest, or Veterans Affairs (VA) issues. These committees do not issue approval for the study a whole; only for their areas of oversight.

    The IRB will forward submissions to the appropriate ancillary committee if review is needed and has not yet been provided. Ancillary committees may request  documentation from the study team that is additional to the IRB application completed in ARROW.


    ANTIBODY

    Protein released in the blood that is generated in reaction to a foreign protein (antigen) that has entered the body. Antibodies produce immunity against certain micro-organisms or their toxins.


    Apply-To Opportunity (WiSH)


    Asynchronous

    1. Asynchronous learning is a student-centered teaching method that uses online learning resources to facilitate instruction that is not being delivered in person or in real time.  Discussion forums and recorded lectures are examples of asynchronous components in an online course.


    Auto-Match Opportunity (WiSH)


    Automatic Reply

    Also known as a vacation message or an out of office message. Automatic reply is a rule that can be set in your Office 365 account that will automatically reply to incoming emails with a preset response for a preset amount of time.

    CARBOHYDRATE

    Any of a group of chemical compounds, including sugars, starches, and cellulose, containing only carbon, hydrogen, and oxygen, with a ratio of hydrogen to oxygen of 2:1.


    CATALYST

    A substance present in small amounts that increases the rate of chemical or biochemical reactions without being consumed in the process.


    Category (WiSH)

    Within the WiSH system, students are assigned categories to show their status/progression through the system. Students can have different categories within the General Application, Auto-Match, Apply-To and Post-Acceptance grids depending on where they are in the scholarship process. Below are a list of the available categories within WiSH. Please note: Applicants may not see the same category names as administrators. If applicants see a different name, it will be indicated in the table.

If set to immediately, communications notifying the applicant of their offer will be sent as soon as they are moved to this category. If set to upon approval, the communications notifying the applicant of their offer will be in scholarship administrator's message queue to be approved. 
    Plan to Offer Reviewers The scholarship administrator has encumbered funds by creating an offer for the applicant. However, the applicant cannot see the offer. To them, their category is still "Submitted." Additionally, the applicant has not been sent a communication notifying them of their offer.

    Pending Administrators Only The initial category of the P.A. grid. When the scholarship administrator first encumbers an award for the applicant in the Applications grid, the applicant appears in the P.A. grid with this status.
    Requested Applicants The applicant has been asked to completed P.A. Applicants automatically move to this category when they accept the award.

    Certify Not Human Subjects Research

    Citizenship Country

    A student's country of citizenship. This value captured on the application for admission, and when necessary, is verified by the International Student Services Office. There is a value for every country.

    Confirm Study Completed

    This is an activity in ARROW that allows the IRB submission manager to document IRB agreement with the study team's assessment that the study meets study completion criteria.


    Content Library

    A Content Library is a type of notebook in Office 365's Class Notebook app. It is a notebook for teachers to share course materials with students. Teachers can add and edit its materials, but for students, the notebook is read-only.


    Copy Reportable Event to Other Study

    This is an activity in ARROW that allows the PI or POC to copy a reportable event application to another study.  For example, if a reportable event affects several studies open by the PI, the PI only needs to fill out the RE application one time and then copy it to the other affected studies.

    Cycle Management

    Cycle Management is the annual process to close out one cycle in WiSH and open a new one. UW-Madison performs this process each August, and members of the OSFA WiSH Team lead the process.

    DENSITY

    A measure of the concentration of matter per unit of volume (e.g., g/l or kg/m3)


    Deny Request to Reactivate

    This is an activity in ARROW in which the IRB submission manager can deny a study team's request to reactivate a submission that was previously withdrawn by the IRB (e.g. due to lack of submission of a continuing review for a study that has an expired IRB approval).  Execution of this activity will result in email notification to the study team that the request to reactivate has been denied and the study team will need to start the submission process over.


    Deny Request to Reopen

    This is an activity in ARROW in which the IRB submission manager can deny a study team's request to reopen a submission that was reported by the study team as completed or is in the closed state. 


    DENY*

    Admission Denied Status Code
    Admission denied and coded due to the following: denied by Capstone Program, denied reentry from Dean of Students or ineligible for admission.


    DIGESTIBILITY (Coefficient of)

    A measure of the proportion of a feed that is digestible. The digestibility of a nutrient is often measured as the difference between the amount of nutrient ingested minus the amount of nutrient excreted in the feces, expressed as a percentage of the nutrient ingested: 100 x (intake - excreted)/intake.


    DocType

    A special index key that is associated with custom properties.


    Document Keys

    Values set that define and describe a document. There are seven for campus’ implementation of ImageNow: Drawer, Doctype, and five optionable/customizable keys. Discrete documents cannot have the same value for all of the key(s) otherwise they will be considered the same document and effectively merged.


    Document Lifecycle

    The document lifecycle is the sequence of stages that a document goes through from its creation to its eventual archival or deletion. Proper procedures throughout the document’s lifecycle are an important part of content management.

    This is a set of defined processes that help your KB Group obtain, organize, store and deliver information crucial to its operation in the most effective manner possible. The stages of a document’s lifecycle include: creation, publication (site access), categorizing (topics), keywords, metadata tagging, delivery or sharing, repurposing, review and reporting, archiving and / or deletion.


    DRY COW

    A non-lactating cow. The dry period is the time between lactation, when the cow is not secreting milk.


    DRY MATTER

    That part of the feed which is not water. It is usually determined by the residual weight of a sample placed for a period of time in a drying oven that removes the water from the sample. Usually, the dry matter content of a feed is expressed as a percentage. For example, an hay of 85% dry matter contains 85 g of dry matter for each 100 g of fresh feed.


    DRY MATTER BASIS

    A method of expressing the concentration of a nutrient in a feed. For example, a feed containing 12% crude protein on a dry matter basis contains 12 g of protein for each 100 g of feed dry matter


    DRY MATTER INTAKE

    ENERGY DENSITY

    A measure of the concentration of energy in a feed or a ration usually expressed as a unit of energy (megacalorie or megajoule) per lb of dry matter or per kg of dry matter.


    ENZYME

    Usually a protein that accelerates a biochemical reaction at body temperature, without being used up in the process (see also catalyst).


    EPD Community

    Epistemology

    The theory of knowledge, especially with regard to its methods, validity, and scope. Epistemology is the investigation of what distinguishes justified belief from opinion (Wikipedia).


    Exchange ActiveSync Protocol

    Exchange ActiveSync (also known as EAS) is a communications protocol designed for the synchronization of email, contacts, calendar, tasks, and notes from a messaging server to a smartphone or other mobile devices. The protocol also provides mobile device management and policy controls.


    FA - Aid Year

    The year for which Financial Aid is calculated. The value used for Aid Year is the ending year of the Academic Year. For example, if the Academic Year is "2011-2012", the aid year is "2012." The Aid Year includes the following terms in this order: Fall, Spring, Summer.


    FA - Expected Family Contribution (EFC)

    The Expected Family Contribution (EFC) was a number that determines a student’s eligibility for federal student aid. Starting with the 2024-2025 Academic Year, EFC has been replace with the Student Aid Index. You will still see EFC in WiSH for one more year. The EFC formulas, calculated according to a formula established by law, use the financial information students/parents provide on their Free Application for Federal Student Aid (FAFSA) to calculate the EFC. A family’s taxed and untaxed income, assets, and benefits (such as unemployment or Social Security), family size and the number of family members who will attend college during the year are all considered in the formula.   The EFC is a number used by the school to calculate the amount of federal student aid a student id eligible to receive. The EFC is a measure of a family’s financial strength -- the lower the EFC -- the "needier" the student.  EFCs range from $0 to $99,999.


    FA - Gift Need (Need Not Met by Gift Aid)

    Gift Need the gap between the cost of attending college and the gift aid a student is granted. In other words, it is the gap that remains for an individual student after all scholarship and grands (but not loans and Federal Work Study) are applied towards their Federal Need.

    FA - Packaging Status (Y/N)

    Packaging Status (Y/N) shows whether or not a student has received their initial financial aid offer for a given academic year. If the student has submitted a FAFSA and received their initial financial aid offer, they will have the value of "Y." If the student has submitted their FAFSA but does not have a financial aid offer yet, it will show the value of "N." If the student has not submitted the FAFSA, the value will be blank. The intention of this data point is to offer more clarity around a student's financial information. There are several important things to remember when referencing this data point:

    • You should not use this data point as a qualification. Doing so might negatively impact students in the process of completing verification.
    • Even if a student has received their financial aid offer (i.e. has a "Y"), their financial aid offer may still change. OSFA is required by federal regulations to adjust student financial aid offers if a student receive additional financial aid (ie. scholarships, fellowships etc) after they receive their initial financial aid offer. A student may also experience a dramatic change to their financial situation (i.e. parent retiring, loss of parent's job) that might cause a re-evaluation of the student's financial aid offer.
    • When summer enrollment begins in late spring, you may see some students who were previously marked as "Y" move to "N." Summer financial aid offers use the same FAFSA data as the preceding academic year. These students still have their academic year offers. For next year offers (so the future academic year), this will not be an issue.


    Faculty

    The UW-Madison faculty consists of all persons with instructional, research and service responsibilities who hold the rank of professor, associate professor, assistant professor, or instructor with at least a one-half time appointment with UW-Madison, or a full-time appointment held jointly between UW-Madison and UW-Extension.

    FATTY ACID

    A chain of carbon terminated by an acid (carboxyl) group (COOH). Fatty acids with less than 4 carbon units are volatile. Fatty acids with 5 to 20 carbon units are usually found as part of fats and oils.


    Federal Ethnicity

    All colleges and universities in the U.S. are required to collect and report student and employee race/ethnicity according to federal Department of Education guidelines. This briefing paper describes the requirements for collection and reporting of race/ethnicity that have been in effect since December 2007.
    Colleges and universities are expected to use the federal methodology for the public reporting of enrollment, degrees conferred, graduation rates, employee counts, and other such standard metrics. Because individuals can identify multiple racial/ethnic categories that could result in duplicated counts, the Department of Education mandates use of a hierarchical methodology, as follows:
    1. All international individuals are reported in a separate category called “International”. “International” in this context refers to individuals who are not U.S. citizens and are not in permanent resident or refugee status.
    2. Domestic (non-international) individuals who identify as Hispanic are reported as “Hispanic”, regardless of the racial identities provided.
    3. Domestic individuals who do not identify as Hispanic but identify multiple races are reported as “2 or more races”.
    4. Domestic individuals who do not identify as Hispanic and only identified a single race are reported in that racial category (i.e. American Indian or Alaska Native, Asian, Black or African American, Native Hawaiian or Other Pacific Islander, White).

    Racial/ethnic sub-categories for students are not considered part of the federal reporting methodology and are used only at the state and UW System level.


    FIBER (dietary)

    Nutrient of low energy density present in large quantities in forages. Fiber is composed of structural carbohydrates (cellulose and hemicellulose) and phenolic compounds. Fiber is important for dairy cows because they stimulate rumination and promote a healthy rumen environment for bacterial growth. However, in large amounts in the diet, fiber may fill the rumen, limit intake of energy and constrain milk production.


    FIBROUS CARBOHYDRATE

    Hemicellulose and cellulose that can be quantify by the neutral detergent fiber procedure.


    Field of Study

    Academic plans (majors) are aggregated into four divisions called the Field of Study. The Field of Study for a student is based on the student’s primary academic program.  This allows the user to select a division rather than listing several majors. Values are:

    Food Insecurity

    The USDA Economic Research Service (ERS) defines food insecurity as a household characteristic. Food insecure households are those for which “consistent access to adequate food is limited by a lack of money and other resources at times during the year” (See more at: USDA-ERS).


    Food Insecurity

    The state of being without reliable access to a sufficient quantity of affordable, nutritious food. During the first decade of this century, more than 800 million people live every day with hunger or food insecurity as their constant companion (see also National Academy of Science definitions).


    Food Security

    Food security exists “when all people at all times have access to sufficient, safe, nutritious food to maintain a healthy and active life.” According to the World Health Organization (WHO), the three pillars of food security are: availability, access and (safe) utilization.     Force Apply (WiSH)

    Free/Busy

    Free/busy is a determination of whether there is a calendar event in a given time slot. Free designates time slots without events and busy designates time slots that are taken up in a person's calendar. Any account within Microsoft 365 will have the ability to view free/busy information against any other Office 365 account. Note: an event can be set to show as busy or free.


    GLYCEROL

    A three carbon sugar which form the backbone of triglycerides and other fats.

    High School Rural Designation (WI High Schools Only)

    The designation assigned to an applicant by the Office of Admissions and Recruitment based on a student's High School community. Please note that the designation is only consistently populated for Wisconsin High Schools at this time. The designation values are as follows: 
    • City - Large: Territory inside an urbanized area and inside a principal city with population of 250,000 or more.
    • City - Midsize: Territory inside an urbanized area and inside a principal city with population less than 250,000 and greater than or equal to 100,000.
    • City - Small: Territory inside an urbanized area and inside a principal city with population less than 100,000.

    Hold for Scheduling: Ancillary Committee Review Pending

    This is a state in ARROW.  Studies in this state cannot be scheduled for an IRB meeting until the Ancillary Committee Review decision has been entered into the system.


    Hybrid

    1. Hybrid learning is a formal education program in which a student learns at least in part through delivery of content and instruction via digital and online media with some element of student control over time, place, path, or pace.  Can also be called Blended Learning.


    HYDROCHLORIC ACID (HCl)

    independent study*

    Life Cycle Assessment

    LCA addresses the environmental aspects and potential environmental impacts (e.g. use of resources and the environmental consequences of releases) throughout a product's life cycle from raw material acquisition through production, use, end-of-life treatment, recycling and final disposal (i.e. cradle-to-grave). There are four phases in an LCA study: a) the goal and scope definition phase, b) the inventory analysis phase, c) the impact assessment phase, and d) the interpretation phase (ISO 2006).

    NET ENERGY OF LACTATION (NEl)

    The amount of energy in a feed which is available for milk production and body maintenance. Feeds generally are similar in total energy content but vary widely in the proportion of the total energy which is available for maintenance and milk production. The remainder of the energy in the feed is lost in the feces urine, gas belched form the rumen and excess heat production by the cow. In the cow, it takes 0.74 Mcal NEl to produce 1 kg of milk containing 4% fat and the net energy content of most feed range from 0.9 to 2.2 Mcal NEl per kg dry matter.


    NON-FIBER CARBOHYDRATE

    Stereotype Threat

     The term refers to being at risk [given a specific set of contextual circumstances] of confirming a negative stereotype about one's social group as a self-characteristic [i.e., a personal trait]. For example, Let's say that you find yourself in a situation in which you realize that someone may have a steretotype about you [because of you physical appearance, gender or any other general characteristic of social group] and there is a part of you that is afraid that your [about to be undertaking] action and behavior will prove to that person that the stereotype is true.     Student Visa Type

    The visa a student or applicant possess that allows them to study at a university in the United States. These are determined by the Office of International Student Services.


    Study Completed

    Once a study team has submitted a study completion report, the study moves from the "Approved" state to the "Study Completed" state. The study remains in this state for a period of 18 months, during which time the study team can reopen the study.  After 18 months, the study is permanently archived. 


    Study Suspended

    The IRB can suspend a study, automatically moving it to the "suspended" state rather than the "approved" state.  Once a study has been suspended, activities available to the study team are limited.  Study teams can initiate a change of protocol to address whatever caused the study to be suspended in the first place. 


    Study Team

    The study team consists of the PI, the point of contact, and any other personnel listed as having edit/email or read-only access to study materials in the initial application smartform. 


    Submit Study Completion Report

    This is an activity in ARROW that allows a PI or POC to submit their study completion report.  This activity is available in the following states for an initial review: Approved, Exemption Granted, Expired.  The study then transitions to the Study Completed state.

    Suspend Study

    This is activity in ARROW that allows an IRB staff reviewer to execute the activity of suspending a study in the IRB Pre-Review state due to a reportable event.  Completion of this activity transitions the study from an approved state to the study suspended state.

    1. University Staff hold positions in virtually every unit on campus.     Very Low Density Lipoprotein (VLDL)

    Particles that carry cholesterol and fat throughout the bloodstream. These particles are released from the liver into the bloodstream. They are similar to chylomicrons which originate from the gut because they both carry cholesterol and triglycerides which are gradually released in the bloodstream to be absorbed by body cells along the way. In the process of losing triglycerides, the VLDLs grow smaller and turn into LDLs (Low Density Lipoprotein) which have lost all their triglycerides.


    VOLATILE FATTY ACIDS (VFA)

    Products of fermentation of carbohydrates (and some amino acids) by the rumen microorganisms. Acetic acid, propionic acid and butyric acid are the primary volatile fatty acids which are absorbed through the rumen wall and used as an energy source by the cow.


    VOLUNTARY WAITING PERIOD

    The number of days between calving and first attempt to breed a cow. A typical voluntary waiting period is 45 days. However, it may varies from less than 40 to 80 days depending on farmer’s preference and reproductive protocol in place on the farm.


    WHEY

    The liquid fraction that remains after the separation of curd in cheese making. Its main food use is in the preparation of whey cheese, whey drinks and fermented whey drinks. The main industrial uses are in the manufacture of lactose, whey paste and dried whey.
