Hiring - Student Hourly - Create a Student Hourly Job Requisition
The first step in hiring a student is creating a Student Job Requisition. This is the equivalent of a job posting. Follow the instructions to create a student job requisition. Make sure to review the Extension-specific instructions for divisional requirements.
Instructions to Create a Student Job Requisition
- Review Create a Job for how to create a job.
- Log in to the Student Jobs Platform Admin Dashboard.
- You'll need to log in with your UW-Madison NetID and password.
- Create a new student job requisition following the instructions found in How to Create a Job.
- Complete the Extension-specific instructions below.
- Save and submit the student job for approval.
- You will receive an automatic notification when your position has been posted to the UW-Madison Student Jobs Website.
Extension-Specific Instructions
The following fields on the student job requisition have Extension-specific requirements. Please review each for guidance on what needs to be completed to hire an hourly student in the Division of Extension. If you do not follow the instructions below this could result in your student being hired incorrectly which could delay their start date and/or payments.
Division
- Select "Extension".
Department
- This is a required field to hire a student in the Division of Extension.
- Most hiring managers are time approvers for their students and should select the same department ID as their appointment for their student.
- Refer to Divisional HR - HRS - Division of Extension Department IDs
Campus Location
- Most hiring managers are time approvers for their students and should select the same location code as their appointment for the student.
- Refer to the Divisional HR - HRS - Extension Office Location Codes spreadsheet for a list of common extension appointment locations.
- If you are unable to find your location, please create a new site name.[Link for document 88671 is unavailable at this time]
Position of Trust
If the position will be a Position of Trust indicate what kind of POT (POT, POT2, POT4) using the drop down on the job requisition.
- To determine POT status, review the definitions of POT Hiring - Positions of Trust
- If you have any questions related to POTs, please contact hr@extension.wisc.edu.
Qualifications - Required Language
- Please enter "Employment will require a criminal background check" into the Qualifications section of the job posting.
- Please enter "Student must be enrolled for credit at an educational institution. Student will need to show proof of enrollment before starting." into the Qualifications section of the job posting.
Additional Hiring Manager #2 (hr@extension.wisc.edu)
- This is a required field to hire a student in the Division of Extension.
- Enter hr@extension.wisc.edu and into HR Divisional Rep and click the magnifying glass to search.
Approval Process
- This is a required field.
- Select “Extension Divisional Approval” for the Approval Process
- List your DLT representative (Under Dean's Leadership Team) as the 1st Divisional Approval and click the magnifying glass to search.
- The other approvals will populate automatically.
Student Employment Hiring Rep (asu.exthr@ohr.wisc.edu)
- This is a required field to hire a student.
- This will be auto-populated with asu.exthr@ohr.wisc.edu.
