Hiring - Student Hourly - Create a Student Hourly Job Requisition

The first step in hiring a student is creating a Student Job Requisition. This is the equivalent of a job posting. Follow the instructions to create a student job requisition. Make sure to review the Extension-specific instructions for divisional requirements.

Verify you have a Supervisory Org Structure

To supervise a student, you need to be the manger of a supervisory organization (job management). The supervisor should create the job requisition. You should be able to find your supervisory org structure here Supervisory Organizations.

  • If you already supervise students, you likely have this set up.
  • If you don’t supervise students now, or you're not sure, please contact hr@extension.wisc.edu for help.

Instructions to Create a Student Job Requisition

  1. Review Create a Job for how to create a job.
  2. Log in to the Student Jobs Platform Admin Dashboard.
    • You'll need to log in with your UW-Madison NetID and password.
  3. Create a new student job requisition.
  4. Complete the Extension-specific instructions below.
  5. Save and submit the student job for approval.
  6. You will receive an automatic notification when your position has been posted to the UW-Madison Student Jobs Website.

Extension-Specific Instructions

The following fields on the student job requisition have Extension-specific requirements. Please review each for guidance on what needs to be completed to hire an hourly student in the Division of Extension. If you do not follow the instructions below this could result in your student being hired incorrectly which could delay their start date and/or payments.

Division

  • Select "Extension".

Department

  • This is a required field to hire a student in the Division of Extension.
  • Select the Department name that most closely aligns with the unit you manage.

Campus Location

  • Supervisors should select the location code where the student will be expected to work. 
  • Refer to the Extension Location Codes for a list of common extension appointment locations.

Position of Trust

If the position will be a Position of Trust indicate what kind of POT (POT, POT2, POT4) using the drop down on the job requisition.

Qualifications - Required Language

  • Please enter "Employment will require a criminal background check" into the Qualifications section of the job posting.
  • Please enter "Student must be enrolled for credit at an educational institution. Student will need to show proof of enrollment before starting." into the Qualifications section of the job posting. 

Anticipated Job End Date

All student job requisitions require an end date and will be reviewed annually. The default end date will be 1 year out, unless you know the student is graduating. If you know the student is graduating before the 1 year is up, please list the graduation date as the end date.

Student Hourly appointments can work until the end of the pay period in which they graduate (ex. Spring 2025 graduation is 5/10/2025, but they can work through 5/17/2025).

Graduate Assistants (RA, PA, GA) can work through the graduation date (ex. Spring 2025 graduation is 5/10/2025, so that is when they can work until). 

Additional Hiring Manager #2 (hr@extension.wisc.edu)

  • This is a required field to hire a student in the Division of Extension.
  • Enter hr@extension.wisc.edu and into HR Divisional Rep and click the magnifying glass to search.

Approval Process

  • This is a required field.
  • Select “Extension Divisional Approval” for the Approval Process
  • List your DLT representative (Under Dean's Leadership Team) as the 1st Divisional Approval and click the magnifying glass to search.
  • The other approvals will populate automatically.
