Divisional HR - Recruitment - Student Hourly - Create a Student Hourly Job Requisition
The first step in hiring a student is creating a Student Job Requisition. This is the equivalent of a job posting. Follow the instructions to create a student job requisition. Make sure to review the Extension-specific instructions for divisional requirements.
Instructions to Create a Student Job Requisition
- Review Create a Job for how to create a job.
- Log in to the Student Jobs Platform Admin Dashboard.
- You'll need to log in with your UW-Madison NetID and password.
- Create a new student job requisition following the instructions found in How to Create a Job.
- Complete the Extension-specific instructions below.
- Save and submit the student job for approval.
- You will receive an automatic notification when your position has been posted to the UW-Madison Student Jobs Website.
Extension-Specific Instructions
The following fields on the student job requisition have Extension-specific requirements. Please review each for guidance on what needs to be completed to hire an hourly student in the Division of Extension.
Division
- Select "Extension".
Department
- This is a required field to hire a student in the Division of Extension.
- Most hiring managers are time approvers for their students and should select the same department ID as their appointment for their student.
- Refer to the Division of Extension Department ID Crosswalk spreadsheet if you are unsure which department to select.
Campus Location
- Most hiring managers are time approvers for their students and should select the same location code as their appointment for the student.
- Refer to the Division of Extension Location Code Crosswalk spreadsheet for a list of common extension appointment locations.

Job Type
- If the student hourly position will be working in a location that is not on the UW-Madison campus, select "UW Student Jobs-Non Madison Location"

Posting Location (Posting Details)
- This field will be auto-populated with "UW-Madison".
- Do not change this field.
Qualifications (For Criminal Background Checks)
- If the student position is considered a Position of Trust they must successfully complete a criminal background check (CBC).
- If you need a CBC for your student, please enter "Employment will require a criminal background check" into the Qualifications section of the job posting.
Select Applicant Form
- Select "UW Accelerated Application (Personal Information Only)" if you already have identified the individual(s) you want to hire.
- Select any of "UW General Application" options if you plan to conduct an open recruitment.
Job Sourcing Information
- Follow the instructions on page 6 of How to Create a Job.
- This is a required section.
- All field must e completed in this section. You must make at least one selection under the "Job Outcomes" and under "Job Categories".
- To adjust the closing date/application deadline date after the job has been made public, contact student.employment@finaid.wisc.edu.
HR Divisional Rep
- This is a required field to hire a student in the Division of Extension.
- Enter "asu.exthr@ohr.wisc.edu" and into HR Divisional Rep and click the magnifying glass to search.

Approval Process
- This is a required field.
- Select “Double Divisional Approval” for the Approval Process
- List your DLT representative (Under Dean's Leadership Team) as the 1st Divisional Approval and click the magnifying glass to search
- List asu.exthr@ohr.wisc.edu as the 2nd Divisional Approval and click the magnifying glass to search. ASU OHR will always be listed as the final divisional approval.
- The Student Employment Admin Team (student.employment@finaid.wisc.edu) will automatically appear as the fourth and final approval. DO NOT REMOVE. The Student Employment Admin Team will always need to be the final approver.

Direct Supervisor of Hiring Manager
- This is a required field to hire a student with ASU.
- The Hiring Manager should enter their direct supervisor or the name of an additional hiring manager.

Submit for Approvals
- Select “Submit” or “Submit & Exit” to start the approval process
