Active Directory

Active Directory is a collection of network resources that can contain users, computers, printers, groups, and even other Active Directories. Active Directory services allow administrators to handle and maintain all network resources from a single location, providing users access to the network resources they need to get their work done. Active Directory is a feature primarily of Microsoft Windows, although other operating systems can participate in it to a limited degree.

AD services control much of the activity that goes on in WCER’s network environment. In particular, they make sure each person is who they claim to be (authentication), usually by checking the username and password they enter, and allow them to access only the data they’re allowed to use (authorization).

In general, WCER users don't need to know how to configure their computers to connect to the Active Directory domain. If your device is provided by WCER, Research IT has configured this for you.

Activity

An activity is an action that you can take for a submission. For example, if a study team wants to respond to pre-review issues, they would use the Send Issues Response activity. Activities are always listed on the left of each study workspace. The list of activities changes based on a user's role in ARROW and what state a submission is in.

Admissions Application Materials

There is one data point in WiSH for the Admissions Application Materials:
  • Admissions Application Materials
This data point displays an ImageNow link. This data point is primarily intended to allow Scholarship Administrators and Reviewers to review a summary of the Admissions Application for incoming Undergraduate students. Please note - when accessing the ImageNow link, users must be logged into VPN via their GlobalProtect app.

Additionally, please note that only Users/Reviewers with the appropriate ImageNow access will be able to access the links. If you’d like to sign your Review Group(s) up for ImageNow access for Admissions Application Materials, please use our sign-up sheet.

Admissions Category - Academic Performance and Course Rigor

This data point provides a summary of high school academic performance through placing students in one of three groups based on similar grade performance and course rigor. Admitted students are not equally distributed between these hierarchical group. As of 1/29/2025, admitted first-year students are distributed across the three academic groups as follows:

  • Group 1: (34.0% of admits) This group has achieved all A/A- Grades taking rigorous courses across 4-5 course subjects. Course subject areas include English, Math, Science, Social Studies, and World Language

  • Group 2: (33.5%) Most of the students in this group have achieved A- grades with rigor across 4 subjects. Some students may have achieved higher grades with slightly lower rigor or slightly lower grades with slightly greater rigor.

  • Group 3: (32.4%) This group contains all remaining admits. Most students in this group have achieved A-/AB grades with rigor across 2-4 subjects.

It is appropriate to note that access to high course rigor is not consistent among our admitted students and that some schools do not offer as many opportunities for advanced course work. As a result, not every student will have an opportunity to achieve at the highest academic performance and course rigor groups. The Academic Performance and Course Rigor Group should be used in conjunction with other aspects of student achievement.

Admissions Category - First Choice Major Fit

This field will display a “Y” when the admission’s review determines clear passion and commitment to the applicant’s first choice major through the campus essay, coursework, involvement, and/or other application materials.

Admissions Category – Wisconsin Idea and Impact

The Wisconsin Idea is one of the longest and deepest traditions at the University of Wisconsin-Madison and serves as the guiding principle in all that we do. Simply put, the Wisconsin Idea states that the education a student receives on our campus should influence people’s lives beyond the boundaries of the classroom to make the world a better place.

Through the review of an applicant’s involvement, essays, and letters of recommendation, this item rates the applicant’s eagerness to explore and embody the principles of the Wisconsin Idea and their potential to enrich our campus community.

Valid values in hierarchical order are:
Extraordinary

Few are given this highest rating. Students in this category have shown evidence of interest in making an impact on their community through a UW-Madison education AND shown evidence of currently making an impact on their school/community. This could include:

  • Reflection on work they've already done to make an impact on their community/society and how they will continue to do so
  • An action or impact plan to advance change that is inspired/informed by their lived experiences, observations, or intellectual pursuits
  • Extraordinary commitment to furthering knowledge through discovery, leadership, and problem solving to assist in addressing societal challenges
Exceeds Expectations

These students show evidence of a genuine interest in making an impact on their community through a UW-Madison education. This could include:

  • Making an impact in their community or society at large
  • Contributing to research/discovery to serve the greater good
  • A desire to address societal challenges
Meets Expectations

This is the most common rating in our applicant pool by far. These students show involvement in high school and/or interest in involvement as a student at UW-Madison though do not rise to the level of the first two categories.

Average These students may have limited involvement and/or share minimally as to how they will become involved as a student at UW-Madison.

    Admit Term

The admit term is the term for which an applicant is applying and plans to matriculate. This field is always associated with an Admit Type and is a four digit number that corresponds to the year and semester the student was admitted. The admit term nomenclature is 1 + last two digits of the aid year + 2 (fall), 4 (spring) or 6 (summer). For example, the admit term for fall 2017 was 1182, the admit term for spring 2018 was 1184 and the admit term for summer 2018 was 1186. If you use this field for matching criteria, you must remember to update it annually at the start of a new admissions cycle.

    Admit Type

The Admit Type indicates the type of prospective student is applying to the university. This field is always associated with an Admit Term. Values are:

    College Code - Future

When a student changes their School/College (i.e. at SOAR), the change is often future effective dated. This means that the change is set to occur on a date in the future and the student's new college code will not become their current college code until that date. College Code - Future displays this future college code and the effective date (the date it will change in SIS) of any student who is set to have their college code changed. Once the effective date passes, the student's college code will change to the new value and College Code - Future will become blank. Please note: this field may also populate if a student changes their major and that change is set to a day in the future. This is because college code and major exist on the same table in SIS.

A value assigned to a student based on their admissions and enrollment at the university. It is not a standard field in SIS and is thus calculated using a mixture of enrollment data and admissions data. The value “continuing” is assigned to students who are ‘eligible to enroll’ or ‘enrolled’ in the SIS affiliation table. The value “new” is assigned to applicants who have applied for admission, been admitted or indicated they intend to enroll.

Timing is an important consideration if using this field in terms of your scholarship cycle.  A ‘New’ applicant will become a ‘Continuing’ student when matriculation occurs.  For Admit Terms, matriculation occurs:
    • Admitted for summer term = matriculation occurs in late March
    • Admitted for fall term = matriculation occurs in May
    • Admitted for spring term = matriculation occurs in mid-November

    FA - Aid Year

The year for which Financial Aid is calculated. The value used for Aid Year is the ending year of the Academic Year. For example, if the Academic Year is "2011-2012", the aid year is "2012." The Aid Year includes the following terms in this order: Fall, Spring, Summer.

FA - Cost of Attendance (COA)

The estimated cost a student is expected to incur while attending the university. The student’s estimated Cost of Attendance (COA) for the academic year may vary by residency, active terms of enrollment (e.g., December graduates), enrollment level (e.g. ½ time) , Study Abroad program, program of study and other miscellaneous adjustments.  The COA includes both direct cost, which appear on the student account (tuition and fees) and indirect cost which is an estimate of a student’s cost for books, housing, food, transportation/travel and miscellaneous expenses.
For more information on the Cost of Attendance, please visit the Office of Student Financial Aid's Cost of Attendance web page.

FA - Expected Family Contribution (EFC)

The Expected Family Contribution (EFC) was a number that determines a student’s eligibility for federal student aid. Starting with the 2024-2025 Academic Year, EFC has been replace with the Student Aid Index. You will still see EFC in WiSH for one more year. The EFC formulas, calculated according to a formula established by law, use the financial information students/parents provide on their Free Application for Federal Student Aid (FAFSA) to calculate the EFC. A family’s taxed and untaxed income, assets, and benefits (such as unemployment or Social Security), family size and the number of family members who will attend college during the year are all considered in the formula.   The EFC is a number used by the school to calculate the amount of federal student aid a student id eligible to receive. The EFC is a measure of a family’s financial strength -- the lower the EFC -- the "needier" the student.  EFCs range from $0 to $99,999.

    FA - FAFSA Received Date

The FAFSA Received Date indicates the date in which a student's Free Application for Federal Student Aid (FASFA) was received by the Office of Student Financial Aid.

    FA - Federal Need

Federal Need, sometimes referred to as financial need, is the amount of financial aid a student can receive if they are receiving federal aid. To calculate a students Federal Need, their Student Aid Index is subtracted from their Cost of Attendance.
    For example:

Cost of Attendance $29,684 - SAI $3,108 = Federal Need $26,576. This means that the student may receive up to $26,576 in need-based aid, but can receive up to 29,684 in total aid.

    FA - Gift Aid

The total grant, scholarship, waiver or fellowship aid currently reported as a financial resource on the student’s financial aid offer for the year. Federal Work Study and any type of loan are not included. This value is used in the Gift Need calculation.

FA - Gift Need (Need Not Met by Gift Aid)

Gift Need the gap between the cost of attending college and the gift aid a student is granted. In other words, it is the gap that remains for an individual student after all scholarship and grands (but not loans and Federal Work Study) are applied towards their Federal Need.
Federal Need – Total Gift Aid = Gift Need

    Equation Examples:

    $5,000 Federal Need - $3,000 Grant Aid awarded  = $2,000 Gift Need
    $5,000 Federal Need - $10,000 Grant Aid awarded  = $0 Gift Need

    FA - Packaging Status (Y/N)

Packaging Status (Y/N) shows whether or not a student has received their initial financial aid offer for a given academic year. If the student has submitted a FAFSA and received their initial financial aid offer, they will have the value of "Y." If the student has submitted their FAFSA but does not have a financial aid offer yet, it will show the value of "N." If the student has not submitted the FAFSA, the value will be blank. The intention of this data point is to offer more clarity around a student's financial information. There are several important things to remember when referencing this data point:

    • You should not use this data point as a qualification. Doing so might negatively impact students in the process of completing verification.
    • Even if a student has received their financial aid offer (i.e. has a "Y"), their financial aid offer may still change. OSFA is required by federal regulations to adjust student financial aid offers if a student receive additional financial aid (ie. scholarships, fellowships etc) after they receive their initial financial aid offer. A student may also experience a dramatic change to their financial situation (i.e. parent retiring, loss of parent's job) that might cause a re-evaluation of the student's financial aid offer.
    • When summer enrollment begins in late spring, you may see some students who were previously marked as "Y" move to "N." Summer financial aid offers use the same FAFSA data as the preceding academic year. These students still have their academic year offers. For next year offers (so the future academic year), this will not be an issue.

FA - Student Aid Index (SAI)

A number that determines a student’s eligibility for federal student aid. A student's SAI is calculated by the Department of Education based on the financial information  a student, their parents, and/or spouse provide on their Free Application for Federal Student Aid (FAFSA). The lower the SAI, the higher level of financial need a student has. SAIs can range from -1,500 to 999,999.

    FA - Unmet Need

Unmet Need is the gap between the cost of attending college and the financial aid a student is granted. In other words, it is the gap that remains for an individual student after all financial aid has been applied towards their Federal Need.
Federal Need - All Financial Aid (i.e. Gift Aid and Loans) = Unmet Need

    Faculty

    Federal Ethnicity

All colleges and universities in the U.S. are required to collect and report student and employee race/ethnicity according to federal Department of Education guidelines. This briefing paper describes the requirements for collection and reporting of race/ethnicity that have been in effect since December 2007.
Colleges and universities are expected to use the federal methodology for the public reporting of enrollment, degrees conferred, graduation rates, employee counts, and other such standard metrics. Because individuals can identify multiple racial/ethnic categories that could result in duplicated counts, the Department of Education mandates use of a hierarchical methodology, as follows:
    1. All international individuals are reported in a separate category called “International”. “International” in this context refers to individuals who are not U.S. citizens and are not in permanent resident or refugee status.
    2. Domestic (non-international) individuals who identify as Hispanic are reported as “Hispanic”, regardless of the racial identities provided.
    3. Domestic individuals who do not identify as Hispanic but identify multiple races are reported as “2 or more races”.
    4. Domestic individuals who do not identify as Hispanic and only identified a single race are reported in that racial category (i.e. American Indian or Alaska Native, Asian, Black or African American, Native Hawaiian or Other Pacific Islander, White).

Racial/ethnic sub-categories for students are not considered part of the federal reporting methodology and are used only at the state and UW System level.

    FIBER (dietary)

Nutrient of low energy density present in large quantities in forages. Fiber is composed of structural carbohydrates (cellulose and hemicellulose) and phenolic compounds. Fiber is important for dairy cows because they stimulate rumination and promote a healthy rumen environment for bacterial growth. However, in large amounts in the diet, fiber may fill the rumen, limit intake of energy and constrain milk production.

    FIBROUS CARBOHYDRATE

Hemicellulose and cellulose that can be quantify by the neutral detergent fiber procedure.

    Food Desert

This term was defined by Congress in 2008 as an area in the USA with limited access to affordable and nutritious food, particularly such an area composed of predominantly lower income neighborhoods and communities

    Food Insecurity

The state of being without reliable access to a sufficient quantity of affordable, nutritious food. During the first decade of this century, more than 800 million people live every day with hunger or food insecurity as their constant companion (see also National Academy of Science definitions).

    Food Insecurity

The USDA Economic Research Service (ERS) defines food insecurity as a household characteristic. Food insecure households are those for which “consistent access to adequate food is limited by a lack of money and other resources at times during the year” (See more at: USDA-ERS).

    Food Loss

Food losses refer to the decrease in edible food mass throughout the part of the supply chain that specifically leads to edible food for human consumption. Food losses take place at production, post-harvest and processing stages in the food supply chain. Food losses occurring at the end of the food chain (retail and final consumption) are rather called “food waste”, which relates to retailers’ and consumers’ behavior.

    Food Security

Food security exists “when all people at all times have access to sufficient, safe, nutritious food to maintain a healthy and active life.” According to the World Health Organization (WHO), the three pillars of food security are: availability, access and (safe) utilization. In addition you can learn about the four dimensions of food insecurity at the FAO website.

    Food Waste

Food waste is a component of food loss and occurs when an edible item goes unconsumed as a result of human action or inaction, such as food discarded by retailers as a result of appearance or plate waste by consumers.

    FORAGE

Feed that stimulate rumination due to their long particle size and their high content in fiber. Generally, forages are composed of the leaves and stems (stalk of plants. The bacterial population of the rumen allows the ruminant to digest forages.

    FORAGE TO CONCENTRATE RATIO

Usually expressed as two percentages. The percentage of ration dry matter that is made up of forage and the percentage of ration dry matter that is composed of concentrates. The two total 100. For example a 50:50 forage to concentrate ratio means that a cow eating 20 kg of dry matter of that ration would eat 10 kg of concentrate dry matter and 10 kg of forage dry matter.

    FRUCTOSE (C6H12O6)

A sweet sugar occurring in many fruits and honey.

    FTE

Full-time equivalent.  A way of counting the number of staff or positions.

FTE (Full Time Equivalent) and Headcount

There are two basic ways that we count the number of employees. When we use headcount, each individual person counts as one employee whether their appointment is full time or part time. When we use "FTE," we are using the "Full Time Equivalent."

The Full Time Equivalent is the total of all positions using the percentage of the appointment rather than the number of individual employees. This is what the headcount looks like for the same employees using each measure:

    Employee A - .5 appointment
    Employee B - 1.0 appointment
    Employee C - .6 appointment
    Employee D - .4 appointment

Using Headcount, there are 4 employees
    Using FTE, there are 2.5 employees (.5 + 1 + .6 + .4 = 2.5)

    • F - Female
    • M - Male
    • U - Unknown
    • X - Another legal sex

As a note, while SIS uses the term gender in reference to these values, they actually are sex values. Gender values would be man, woman, non-binary etc. To stay inline with SIS and minimize confusion between the two systems, WiSH refers to the field as gender instead of sex.

Once a submission has been scheduled for review at an IRB meeting, IRB Office staff can reassign the primary or secondary reviewer responsible for conducting the review, should scheduling or other conflicts arise.

    Reassign IRBS

Studies in pre-review are assigned to a specific IRB staff reviewer.  If necessary due to workload, vacations, or any other issue, the IRB director can reassign that study to a different staff reviewer using this activity.

    Record Facilitated Review Decision

Some studies undergo a facilitated review rather than a full review, for example, studies sent to the NCI CIRB.  IRB staff will record the facilitated review decision using this activity.  This activity moves the study to the "awaiting correspondence" state.

The SD shares the same unit as the mean. The SD is calculated as the square root of variance by determining the variation between each data point relative to the mean. The symbol for standard deviation is σ (the Greek letter sigma). Approximately, in a normal distribution,
    38% of all observations are within ± 0.5 SD units of the mean;
    68% of all observations are within ± 1 SD units of the mean;
    95% of all observations are within ± 2 SD units of the mean;
99% of all observations are within ± 3 SDunits of the mean.

    Student Assistants

Titles in the Student Assistant title group are used for graduate students who: hold a fellowship, scholarship or traineeship; hold an appointment which is intended primarily to further the education and training of the student; are employed to assist with research training or other academic programs or projects; and/or have been assigned teaching responsibilities in an instructional department under the supervision of a faculty member.

In addition, Student Assistant titles are available to undergraduate students when: no qualified graduate student is available to perform a function that would normally be assigned to graduate students (i.e., Undergraduate Assistant - requires advance approval of the dean); or when the terms of a supporting grant or contract preclude the use of other normally appropriate titles (Undergraduate Intern).

    Suspended

This is a state in ARROW.  Studies in this state have been suspended.  Research teams can only submit a change of protocol in this state.  Once the IRB approves the change of protocol addressing the issues which resulted in the suspension, the IRB will then review the full study to determine if the suspension can be lifted and the study can be moved back to the approved state.

    Sustainability

Sustainability is a holistic concept that built on three inter-related pillars: environmental, social and economic. To be sustainable, any entrepreneurial activity must be economically viable, ecologically healthy and socially equitable. A universal definition of sustainability was given for the first time by the World Commission on Environment and Development (WCED) in the Brundtland report published under the auspices of the United Nations in 1987.

    Sustainable Intensification

Narrowly defined, SI refers to increase food production from existing farmland in ways that place far less pressure on the environment and that do not undermine our capacity to continue producing food in the future. However, Garnett et al. (2013) added the following four premises underlying SI: (a) The need to increase production; (b) Increase production must be met through higher yields because increasing the area of land in agriculture carries major environmental costs; (c) Food security requires as much attention to increasing environmental sustainability as to raising productivity; and (d) SI denotes a goal but does not specify a priori how it should be attained or which agricultural techniques to deploy.
